JAS Grading Standard Operating Procedures (SOPs) Sample
The following sample SOPs and grading documents are designed to be an example of records that meet the JAS standard requirements. These documents are not the only option available to perform the grading function, nor is it required that these specific forms be used. They are merely a set of guidelines and examples provided that clarify the specific JAS requirements for grading. Each operation is different; as such the components and documentation of your grading system should be developed to fit your own unique situation.
SOP #1: Grading Inspections
For every production run of product displaying the JAS seal, the grading staff or manager will perform an internal grading inspection. This inspection will verify that the finished product was processed by methods that meet the JAS certification requirements for ingredients, materials, contamination avoidance, and quality control.
Indicate who will perform the grading inspection (responsible personnel).
Specify when grading inspections will occur (indicate timing related to the production process, include frequency).

The grading inspection verifies the use of allowed ingredients and materials. There are two options for verification of organic ingredients:
JAS certified - Ingredient must display JAS seal on package and/or shipping documents.
NOP certified non-JAS ingredients - The supplier’s certifier must verify the specific requirements of the USDA/MAFF export arrangement. For all non-JAS NOP ingredients used in JAS products, the Ecocert-QAI Japan Affidavit of USDA/MAFF JAS Export Arrangement Compliance or similar verification from the vendor’s certifier must be on file.
SOP #2: JAS Seal Labeling requirements
Only products approved by the grading department will be sold as JAS certified and exhibit the JAS seal.
Record how the JAS seal is used and who is responsible for applying it. Indicate the steps of verification and which document or label will bear the JAS seal.
The JAS seal is to appear when in compliance with the JAS standard per the following criteria:
The JAS seal may be displayed at any size but must remain in the specific proportions and format provided. The seal must be taller than 5mm high and “Ecocert-QAI Japan” must appear below the mark in English. (The Ecocert-QAI Japan logo use is optional)
The JAS seal must appear on all organic retail products sold in Japan.
For bulk commodities, the JAS seal must appear on all possible shipping documents such as invoices. Seal use is not required but is recommended.
SOP #3 Shipping of graded products
Only products approved by the grading department will be shipped according to existing organic and quality control procedures utilized to protect organic integrity.
Products that fail grading requirements will not be sold into the Japanese market. (If produced according to accepted organic standards these products may be sold on the domestic market.)
SOP #4 Maintenance of Grading records
All grading documents must be maintained by the grading department and available for review by certifier and it’s agents at any time.
Appropriate documentation will be maintained to verify the grading systems and ingredients used.
